This position is a customer service and administrative role supporting a busy nephrology practice. Basic job duties include greeting all office visitors including customers and vendors, checking in and checking out patients, managing the patient schedule for all office providers, answering phones, collecting patient co-payments and registering new patients. This position may require travel between Richmond Nephrology offices, based on staffing needs.

 

Basic Job Duties:

  • Greeting all customers (patients) and their caregivers during in-office appointments with a professional and positive demeanor.
  • Communicating with the Medical Assistant team to manage the patient check-in and check-out process, ensuring a seamless experience for patients and providers, including managing patient wait time in the waiting area.
  • Registering new patients in the Benchmark practice management system with demographic and insurance information.
  • Managing the check-out process for patients, including scheduling a follow-up visit with the appropriate appointment type, provider and details for each patient, including an after-visit summary.
  • Managing the busy phone system, Nextiva, during business hours, including checking messages and providing on-time communication to providers regarding patient requests.
  • Collecting patient co-pays and record payments in the Benchmark practice management system and providing weekly summaries to the Billing Department.
  • Managing annual updates for patients, including completion of HIPAA forms, privacy practices, financial agreements and emergency contact information.
  • Completing requests for medical records from insurance companies and other physician practices in a timely manner.
  • Mailing new patient packages and other required communications to patients.

Required Experience:

  • Minimum of two years working in an outpatient healthcare setting at the front desk.
  • Experience working with practice management software (Benchmark preferred but not required).
  • Experience working within an eHR (Epic preferred but not required).
  • Experience managing a busy phone system.
  • Proficiency in the Microsoft Office Suite (Word and Excel required).
  • Knowledge of using both an eFax and traditional fax system.
  • Experience using a postage machine.

Preferred Experience:

  • Experience working within nephrology or a similar specialty (internal medicine).
  • CPR certified.

Education:

  • High School Diploma required.

Skills and Abilities:

  • Exemplary written and verbal communication skills, including appropriate spelling, proper punctuation and grammar
  • Professional demeanor and ability to communicate positively and patiently
  • Ability to excel in a high-paced office environment
  • High attention to detail and strong organizational skills

  • Ability to prioritize work duties, giving highest priority to in-office patients present and urgent patients who need to interact with their provider

Physical and Mental Demands:

  • Ability to walk, sit, and stand when patients are in the office, as part of an active work environment.
  • Handle prolonged periods of sitting, standing, pushing, pulling and lifting objects that are thirty pounds or less when patients are not in the office.
  • Must be able to work on screens for long periods of time on a computer, iPad or other electronic device.
  • Manual dexterity required for typing, taking patient vitals, using iPads and other electronic devices in the office such as fax machines and phones.
  • Managing occasional stress related to workload and position demands.
